What we built

Every important call ends with a handled request, a safe transfer or a clear next step.

We designed the DGBA AI Voicebot as a natural-language alternative to a rigid 'press one' menu. It can receive or make calls, understand the caller's purpose, ask clarifying questions and complete repeatable tasks while the conversation still feels direct and understandable.

The platform acts as virtual reception, booking desk, first-line service, lead qualifier, reminder system or call router. Its shared architecture can be adapted to every industry, while the voice, vocabulary, permissions and risk boundaries remain specific to each organization.

Recovering calls that would otherwise become lost demand

A reception team can handle only a limited number of calls at once. During peak hours, after closing time or while staff serve people on site, a busy signal and unanswered phone often send a high-intent customer directly to another provider.

The voicebot creates an immediate first response within the contracted telephony and agent capacity. It identifies the reason for contact and moves the call toward information, qualification, booking, callback or transfer instead of leaving demand without a next step.

Natural conversation connected to real telephony

The agent combines speech recognition, a conversational model, voice synthesis and turn-taking so callers can speak in their own words, interrupt naturally and correct information without returning to the beginning of a menu. We tune voice, pace and pronunciation for the brand and language.

Deployment can use call forwarding, Twilio, SIP trunking or a browser voice channel depending on the existing infrastructure. Capacity is selected from monthly volume, average duration, peak distribution and required availability rather than promised as unlimited.

Company knowledge and structured call qualification

The voicebot answers from approved information about services, pricing rules, specialists, locations, preparation, required documents and operating policies. RAG retrieves relevant source fragments, and the agent declines to guess when no verified answer exists.

It can collect names, contact details, request type, timing, location, urgency or quotation inputs and write a structured summary to CRM, helpdesk, e-mail or an industry system. Sensitive or regulated questions are routed to an appropriate specialist rather than answered beyond the reception role.

After a verified calendar or industry-system integration, the agent can retrieve availability, read a short list of suitable slots, create, reschedule or cancel an appointment and confirm the result only after the source system succeeds. Waiting-list logic can help refill released capacity.

Outbound workflows can confirm appointments, deliver reminders, contact a waiting list, collect satisfaction feedback, reactivate customers or run approved informational calls. Campaigns require a separate review of consent, legal basis, calling hours, capacity and telecommunications rules.

Controlled tools, system confirmation and human transfer

The language model receives narrow backend actions such as checking slots, creating a booking, opening a lead or scheduling a callback rather than broad access to CRM or clinical systems. Server-side validation, authentication, retries, idempotency and logs protect every operation.

When a caller asks for a person, the matter is urgent, identity is insufficient, an integration fails or professional responsibility is required, the call can transfer to a number, department, SIP address or another specialized agent. If nobody is available, the voicebot records a structured callback task.

Depending on privacy configuration, a completed call can produce a transcript, summary, recognized intent, structured fields, outcome, tool history, errors and booking or transfer status. Post-call webhooks route that record to the systems where the team already works.

Reporting exposes why people call, which paths complete automatically, where integrations fail and how demand changes across hours or locations. This turns the phone from an opaque stream of interruptions into an operational channel that can be improved with evidence.

Privacy, recording policy and regulated-sector boundaries

The caller is informed that the conversation is handled by AI. Recording, transcript retention, access, redaction and deletion are configured deliberately around the client's legal basis and policy rather than activated as invisible defaults. Credentials and tools remain server-side and operations are auditable.

Medical, legal and financial agents stay within reception and administration. They do not diagnose, interpret results, prescribe treatment or issue binding advice. Data residency and zero-retention requirements are assessed across the full chain, including speech, model, telephony, webhooks and outbound architecture.

Capacity planning, real-call testing and measured rollout

Discovery measures call volume, peak concurrency, average duration, missed calls, current labor cost, lead or appointment value, source systems and data risk. We then design the call map, voice, pronunciation, knowledge, integrations and emergency paths around those constraints.

Testing covers noise, accents, interruptions, names, dates, numbers, e-mails, changed decisions, missing slots, voicemail, API failure and transfer. A limited pilot compares answered calls, automated outcomes, bookings, callbacks, errors, recovered work hours and cost per handled case before traffic is expanded.
