What we built

A clear next step for the patient and a visible process for the clinic.

Medpanel was created as a digital layer around a medical procedure. Instead of sending a patient through phone calls, SMS messages, e-mails and folders of PDFs, the product shows the current stage, the next required action and the complete horizon from qualification to recovery.

The demonstrator uses a pre-operative patient journey, but the architecture is not tied to one procedure. It can become a pattern for private clinics, dentistry, aesthetic medicine, IVF, diagnostics, rehabilitation and other services where qualification, documents, dates and follow-up must work as one coordinated process.

01

From fragmented communication to one patient plan

We started with the operational problem: essential information was scattered across reception calls, messages, e-mail attachments, test results and appointments. Patients often did not know what to do now, whether preparation was complete or where to find the latest instruction.

We turned that complexity into one coherent experience. The patient sees readiness, the current phase, the next visit, documents, results and access to the team, while the clinic gains a repeatable reference point for communication.

  • One current status and next action
  • Tests, visits, documents and communication in context
  • Clear distinction between completed, current and future steps
  • A shared language for patients, reception and coordinators

Business result: fewer repeated organizational questions and less time spent reconstructing a patient's preparation across separate channels.

02

A twelve-step treatment and care journey

We mapped the full journey from an initial online assessment and personal details through qualification, digital consent, preparation, procedure day and follow-up during the first two months of recovery.

The desktop interface presents five phases from left to right, while mobile turns the same logic into a readable vertical sequence. Locked steps stay visible, so the patient understands what will happen later without being asked to act too early.

  • Qualification, consent, preparation, procedure and aftercare
  • Twelve connected stages with dates and dependencies
  • Completed, active, scheduled and locked states
  • Responsive phase map without losing process context

Business result: the clinic can standardize how a complex procedure is explained and reduce uncertainty between consultation, treatment and follow-up.

03

A dashboard focused on what happens now

The home screen avoids overwhelming the patient with a full medical history. It prioritizes procedure readiness, the action requiring attention, the current stage, the nearest appointment and recent activity.

Shortcuts to tests, documents and the care team keep important destinations visible. This reduces cognitive load and makes the product useful in a few seconds, even during a stressful or high-importance process.

  • Readiness percentage and outstanding actions
  • Current phase and nearest appointment
  • Recent activity and key patient resources
  • Direct contact with the care coordinator

Business result: patients can self-serve the most common status questions while staff concentrate on cases that need individual attention.

04

Digital consent connected to workflow

We designed consent as an active stage rather than an anonymous PDF attachment. Every consent can have a status, version, date, deadline and preview, together with a visible call to action.

In the demonstrator, signing changes the journey state, activates preparation and cancels planned reminders. This proves the workflow logic; a production implementation would connect an approved signature or verification provider and define legal requirements with the clinic.

  • Consent status, version and deadline
  • Interactive signing demonstration
  • Automatic update of dependent journey stages
  • Production path for identity and signature verification

Business result: missing consent becomes a visible and measurable exception instead of a document discovered shortly before the procedure.

05

Tests and results organized around decisions

We built a results module that distinguishes completed, ordered and missing tests. Search, filters, deadlines, a result-upload view and the history of a selected parameter help patients understand completeness without turning the portal into a diagnostic tool.

The interface explicitly keeps interpretation with the physician. Medpanel organizes preparation and access to information; it does not replace medical judgment or make qualification decisions automatically.

  • Completed, ordered and missing test states
  • Search, filters and deadlines
  • Result upload and parameter history patterns
  • Clear boundary between organization and medical interpretation

Business result: earlier visibility of missing preparation and fewer last-minute checks before a procedure.

06

Appointments, documents and payments in one context

We created calendar and appointment views with upcoming events, meeting details and the procedure-day plan. Separate areas organize medical documents, summaries, agreements, payment schedules and copies for download.

The structure helps a patient distinguish instructions, consent, contract and payment information instead of searching multiple e-mail threads. For the clinic, it creates a model for one source of truth around the service journey.

  • Calendar, next appointments and procedure-day plan
  • Document catalog with metadata and previews
  • Separate consent, agreement and payment spaces
  • Download and history patterns prepared for production storage

Business result: fewer questions about dates and attachments, and a more consistent premium service experience outside the clinic.

07

Reminder automation and human escalation

We mapped a reminder sequence for actions such as an unsigned consent: an SMS, an e-mail and a conditional task for the patient coordinator if there is still no response. Completing the action cancels unnecessary reminders.

The demonstrator shows the decision logic without pretending that production channels are already connected. A client rollout can integrate the clinic's SMS gateway, e-mail, CRM or workflow tool and apply appropriate message and consent policies.

  • Timed SMS and e-mail reminder model
  • Conditional coordinator task
  • Cancellation after completion
  • Integration path for CRM and workflow tools

Business result: routine follow-up can become automatic, while coordinators intervene where a patient genuinely needs support.

08

History, messages and privacy cues

We connected a categorized event timeline with messages and an organizational contact form. Patients can see what happened, ask the right team in the context of their plan and avoid guessing whether to contact reception, a coordinator or another person.

The profile includes personal and contact data together with a control for hiding sensitive information on screen. It is an interface-level privacy cue, while real data protection, retention, permissions and audit requirements belong to the production phase.

  • Medical, document and system event timeline
  • Contextual messages and contact routing
  • Patient profile and sensitive-data visibility control
  • Foundation for a production audit trail

Business result: clearer communication, better continuity and a transparent record that can be developed into operational accountability.

09

A measurable pilot instead of assumed ROI

We designed the product around outcomes that a clinic can actually measure: organizational contacts per patient, manual reminders, complete preparation on time, time from consultation to consent and questions such as 'what happens next?'.

The recommended rollout starts with a baseline, a limited procedure group and four to eight weeks of comparison. This makes it possible to verify time savings, patient clarity and process completion before expanding the platform.

  • Baseline of team time and contact volume
  • Preparation completeness and deadline metrics
  • Patient progression and experience measures
  • Pilot, feedback and evidence-based expansion

Business result: investment decisions can be based on observed operational value rather than unverified promises about conversion or saved hours.

10

From demonstrator to a secure clinical deployment

The current product includes the complete experience architecture, responsive interface, local interactions, status logic, consent scenario, searches, filters, previews and communication patterns. It is a published demonstrator using example data.

A production phase would add a secure backend, authentication, roles, document storage, approved signatures, real communication channels, clinic integrations, analytics and a dedicated review of security, privacy, retention and legal obligations. Medpanel is not presented as an EDM/HIS or diagnostic system.

  • Secure backend, identity, roles and authorization
  • EDM/HIS, CRM, calendar, payment and communication integrations
  • Security, privacy, retention and compliance review
  • Clinic operations panel, analytics and KPI reporting

Business result: stakeholders can validate the patient experience now and scope a production system around the clinic's real process, infrastructure and obligations.
